Privacy Notice

This privacy policy sets out how Code-Switch Consultants uses and protects any information that we collect about you. We are the data controller for all personal information that we collect and process in providing services to our clients, administrating our business, engaging research consultants and recruitment.

Code-Switch Consultants is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, you can be assured that it will only be used in accordance with this privacy statement.

What data do we collect?

Personal information means any information relating to a living person that allows for that person to be identified, directly or indirectly. When you interact with us, we may collect and process personal information that you supply. You do not need to register your personal information in order to use this website. We collect only such personal data as is provided voluntarily by visitors to our website and is necessary in the circumstances. For example, you may provide information such as your name, telephone number and email address in order to register your interest in joining our team, to find out information about our services or to send or receive e-mails to/from us through the site. By doing so you are consenting to our use of your personal information for the purpose of your enquiry which may include reviewing your application and considering your suitability for any given project or if you are a prospective client to consider the nature of your challenge and the services that we can provide.

What do we do with your personal data?

We process personal information for the purpose of providing research consultancy services to our clients and for other more general purposes of running a consultancy firm. We use the information we collect only in compliance with this Privacy Policy and only for the purpose for which it was collected, unless we obtain your specific consent to other uses, or unless otherwise required or permitted by law or professional standards. For example, if you send us an e-mail message requesting information about Code-Switch Consultants, we will use your e-mail address and other information you supply to respond to your request.

The processing of your personal information may include:

  • Collecting and storing your personal data in electronic files
  • Notifying you of potential roles or opportunities
  • Consider whether you meet the criteria to join our team of research consultants
  • Assessing and reviewing your suitability for job roles
  • Engaging you for a role with us or with our Clients including any related administration e.g. timesheets and payroll
  • Retaining a record of our dealings
  • Responding to an enquiry, questions or concern that you may have raised
  • Performing analytics and creating database to improve your browsing experience and enhancing functionality of our services.
  • Performing a contract that we have with you or to take steps to enter into a contract with you
  • Complying with our legal obligations
  • Sending you emails with newsletters, invitations to events and training workshops and consultancy assignments we think you will be interested in. These will only be sent where prior consent has been given.

Who do we share your personal data with?

We do not disclose your personal data to third parties except as required and permitted by applicable law. Code-Switch Consultants will share your personal data 3rd party SaaS suppliers which includes Dropbox and outsourced payroll providers. We have confirmed that they are fully GDPR compliant, and their data security policies can be provided on request.

We will only disclose or transfer your personal data to other parties or prospective clients with your explicit prior consent, or if it is required by law to do so.  If you are a client, we will share your personal information with our research consultants. However, we may share an anonymised version of your CV with potential clients as an example of the capability of our community, and we may use anonymous summarised data in the same way. Code-Switch Consultants will never sell, share (or gift) your data to a 3rd party outside of this.

We do not sell, share or gift your personal date to third parties outside of this.

How do we store your data safely?

Code-Switch Consultants places great importance on the security of personally identifiable information associated with prospective candidates and clients and takes all reasonable precautions in relation to the security of your personal data so as to prevent unauthorised access to it both from within and outside the Firm. In order to prevent unauthorised access or disclosure, we only store your personal data on secure systems. Outside of our secure servers, we use the following software to handle data:

  • Email software Microsoft Outlook within email exchanges
  • Marketing automation software, Mailchimp
  • File hosting service, Dropbox

How long do we hold your personal data for?

Code-Switch Consultants will hold your records for one year for consideration of relevant roles or as long as it is necessary for legal purposes. We have a legitimate interest to let you know of consultancy projects relevant to your skills and experience during this time. We will only retain your information longer than this time if we have any legal basis to continue to process your information (such as your consent).

Consent

You may withdraw your consent to our processing of your personal information for a particular purpose at any time or if you no longer wish to be considered for future roles in consultancy projects. We will remove data unless it is kept for legal purposes. Our processing in that respect will be limited to what is necessary in furtherance of those obligations. Withdrawal of consent will not have any effect on the lawfulness of any processing based on consent before its withdrawal.

Furthermore, every email we send through our bulk mailer will include an opt out link for any mass emails such as consultancy projects alers and newsletters.

Cookies

A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added, and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. We use Google Analytics to help us take and analyse visitor information such as browser usage and new visitor numbers. We use the information to compile reports and to help us improve the website. The cookies collect information in an anonymous form, including the number of visitors to the website and blog, where visitors have come to the website from and the pages they visited. Please note that the names of cookies, pixels and other technologies may change over time.

Overall, cookies help us provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

    6.  ask for the portability of personal data – receive the Personal Data you have provided to us in a structured, commonly used and machine-readable form and transmit it to another data controller.

Amendments to Privacy Policy

Code-Switch keeps this Privacy Policy under regular review and may modify or amend it from time to time at our discretion. If we make any material changes, we will include a notice on the Website prior to the change becoming effective. We will record the date of amendment or modification in the Privacy Notice. The revised Privacy Policy will apply to you and your information from that date. You should check this page from time to time to ensure that you are happy with any changes.
